Women's Programs Coordinator

The American Physical Society (APS), a non-profit membership organization working to advance and diffuse the knowledge of physics, seeks a skilled administrative support specialist to fill the position of Women’s Programs Coordinator. This position is based at APS Headquarters in College Park, MD (near DC Metro Green Line). Supporting the Education and Diversity Department, the Coordinator provides administrative support to the Committee on the Status of Women in Physics (CSWP), Conferences for Undergraduate Women in Physics (CUWiP), and STEP UP (Supporting Teachers to Encourage the Pursuit of Undergraduate Physics) 4 Women. In addition, this position supports and assists with other department activities as needed.

Responsibilities:

  • Lead coordinator for CSWP, CUWiP and STEP UP 4 Women
  • Accountable for effectively meeting all objectives, deliverables, and deadlines associated with assigned projects
  • Coordinate all aspects of assigned committee activities for CSWP, including climate site visits, networking events, etc.
  • Coordinate logistics for in-person committee meetings and events, videoconferences, and subcommittee meetings with support from Awards and Committees Coordinator
  • Moderate committee listservs and online groups for women in physics
  • Maintain webpages related to CSWP and women’s programs
  • Coordinate advertising for CUWiP site application and conference registration
  • Organize one-day meeting for CUWiP conference organizers
  • Coordinate communications for the CUWiP National Organizing Committee
  • Organize CUWiP registration process and communications with participants
  • Work collaboratively with STEP UP 4 Women program manager to support planning and coordination of the program and its activities
  • Organize and maintain accurate filing of documents associated with projects
  • Organize shipments to conference sites
  • Process invoices, track expenses, and monitor budgets
  • Document and maintain current procedures associated with assigned projects
  • Work collaboratively with the coordinator team
  • Help build positive relations within the department and external parties
  • Other duties as assigned

Qualifications:

Education: Bachelor’s degree required

Experience: Minimum three years of work experience required

Knowledge, Skills, and Abilities:

  • Ability to work independently with little or no supervision for extended periods, proactively identify and respond to needs, and exercise judgment
  • Ability to take initiative in identifying and responding to issues as they arise
  • Ability to handle several complex projects simultaneously
  • Computer skills and high level of proficiency in standard office software
  • Customer service orientation
  • Ability to resolve conflicts constructively, and to empathize and understand perspectives of others
  • Willingness and ability to work as a team player
  • Strong skills in organization, documentation, and prioritization
