Awards Coordinator

The American Physical Society (APS), a non-profit membership organization working to advance and diffuse the knowledge of physics, seeks a skilled administrative support specialist to fill the position of Awards Coordinator. This position is based at APS Headquarters in College Park, MD (near DC Metro Green Line). Supporting the Education and Diversity Department, the Awards Coordinator will coordinate, administer, and perform administrative activities in support of all Education and Diversity department awards, including Moore grants, awards managed by committees, and travel awards.

Responsibilities:

  • Lead coordinator for all department awards
  • Accountable for effectively meeting all objectives, deliverables, and deadlines associated with department grants and awards.
  • Specific responsibilities include but are not limited to:
    • Establish award application and review systems and procedures
    • Generate award publicity and ensure communications plans are executed as scheduled
    • Schedule award cycles and coordinate administration activities to ensure efficient and timely distribution of grants and awards
    • Monitor and follow up with award recipients to ensure that all obligations and award requirements are fulfilled
    • Serve as the primary point of contact for applicants, review committee members, and award recipients
    • Create reports that will inform annual reports to donors
    • Maintain web pages related to grants and awards
  • Document and maintain current procedures associated with grants and awards administration
  • Work collaboratively with the coordinator team
  • Help build positive relations within the department and external parties
  • Other duties as assigned

Qualifications

Education: Bachelor’s degree required.

Experience, Knowledge, Skills, and Abilities:

  • Minimum three years of work experience required.
  • Ability to work independently with little or no supervision for extended periods, proactively identify and respond to needs and exercise judgment.
  • Ability to take initiative in identifying and responding to issues as they arise.
  • Ability to handle several complex projects simultaneously.
  • Computer skills and a high level of proficiency in standard office software.
  • Customer service orientation.
  • Ability to resolve conflicts constructively, and to empathize and understand perspectives of others.
  • Willingness and ability to work as a team player.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Ability to adapt to quickly changing schedules.
