PhysTEC Project Coordinator

The American Physical Society (APS), a non-profit membership organization working to advance and diffuse the knowledge of physics, seeks a skilled administrative support specialist to fill the position of PhysTEC Project Coordinator. This position is based at APS Headquarters in College Park, MD (near DC Metro Green Line). Supporting the Education and Diversity Department, the Coordinator provides administrative support to the PhysTEC Program, a national effort with the goal of increasing the number of qualified K-12 physics teachers. The coordinator also assists with other department activities as needed.


Lead coordinator for the PhysTEC project

  • Accountable for effectively meeting all objectives, deliverables, and deadlines associated with this project. Specific responsibilities include but are not limited to:
    • Organize logistics of meetings and conferences
    • Coordinate program advertising, outreach and publicity materials
    • Coordinate program communications and maintain website
    • Assist with program budgets; process invoices and track expenses
    • Gather project data and prepare reports as requested
    • Serve as the primary point of contact
  • Document and maintain current procedures associated with the project

Work collaboratively with the coordinator team

  • Achieve work objectives through and with others, as needed, using positives and productive communication behaviors
  • Inform supervisor and offer to assist other coordinators and when you have extra time
  • Request help through supervisor from the coordinator team when needed, giving as much advance notice as possible
  • Respect style differences; interact, if possible, with others in a manner they find preferable
  • Resolve conflicts by first dealing directly with the person involved rather than talking with others. Talk with supervisor if conflict is not resolved satisfactorily.

Education: Bachelor’s degree required.

Experience: Minimum three years of work experience in a similar role, or demonstrated skills/expertise in this area.

Knowledge, Skills, and Abilities: Must be able to work independently with little or no supervision for extended periods, proactively identify and respond to needs, and exercise judgment. Must have ability to take initiative in identifying and responding to issues as they arise. Strong, polished interpersonal, written and oral communication skills are necessary. Must have the ability to handle several complex projects simultaneously, possess excellent organizational skills, and meet deadlines. Computer skills and high level of proficiency in standard office software are essential. Customer service orientation desired, including ability to resolve conflicts constructively, and to empathize and understand perspectives of others. Need to demonstrate willingness and ability to work as a team player. Must be able to travel a few times per year.
